Use of AI (artificial intelligence) tools & software

This policy provides a principled framework for staff and contractors to evaluate and use AI tools responsibly, covering overarching principles such as accountability, transparency, non-displacement of human labour, data protection, and climate impact. It includes a categorised table of AI use cases (administrative, language generative, creative generative, and data analysis) with applicability ratings, pros, and cons, as well as a practical decision-making flow chart to guide individual choices. The policy intersects with GDPR, the Equality Act 2010, and several internal Adfree Cities policies, and also addresses expectations when working with external partners. Notably, it is written specifically for a small campaigning organisation and acknowledges that many large-scale AI applications are out of scope for organisations working at a similar size and remit.
