Peer review policy & procedure

This policy sets out a peer-to-peer, non-hierarchical review process in which employees choose their own review partner to facilitate a one-hour reflective meeting, held first at the end of a three-month probationary period and then annually. It covers the full cycle: administrative coordination by a Volunteer and Member Coordinator, preparation and consent, what happens in the meeting (role reflection, goal-setting, job description review, and action planning), a six-month follow-up check-in, and confidentiality obligations. It also outlines the route into disciplinary or capability procedures where poor performance persists after all reasonable support has been provided, and includes a completed meeting template (Appendix A) as a practical tool. Notably, the role description for the peer review partner (Appendix B) is listed as yet to be written collaboratively during training, so that section is incomplete.
